Contract Administrator

Position Overview:

Reporting directly to the Chief Estimator, the Contract Administrator will be responsible for coordinating outgoing tenders and proposals, ensuring the timely and accurate management of all contract documentation, and providing high-level administrative support. This role is integral to the estimating group, contributing to the securement of new work and maintaining smooth daily operations.

Key Responsibilities:

  • Tender & Proposal Coordination:

    • Prepare, organize, and distribute tender documents and proposals in compliance with established guidelines.

    • Track submission deadlines, follow up with internal stakeholders, and ensure on-time delivery.

    • Collaborate with cross-functional teams to gather necessary documentation and information.

  • Contract Administration:

    • Review, compile, and maintain contract documentation and records.

    • Ensure all contract requirements and deadlines are met, adhering to legal standards and company policies.

    • Assist in resolving contract-related issues or disputes in a timely manner.

  • Executive Support:

    • Provide comprehensive administrative assistance to the Chief Estimator, including calendar management, travel arrangements, and expense reporting.

    • Organize and schedule meetings, conference calls, and presentations for the estimating group.

    • Draft, proofread, and finalize correspondence, reports, and other documents.

  • Estimation Team Support:

    • Support the estimation group with data entry, report generation, and file management.

    • Maintain and update project tracking systems, databases, and shared files.

    • Facilitate effective communication within the team and with external stakeholders.

    • Perform other administrative tasks and special projects as required to ensure efficient office operations.

 

Qualifications & Skills:

  • Education: A diploma or degree in Business Administration, Construction Management, or a related field is preferred.

  • Experience:

    • Previous experience in contract administration, tender coordination, or proposal preparation (construction or related industry experience is a strong asset).

    • Minimum 2–3 years of experience as an Contract Administrator or in a similar administrative role.

  • Technical Proficiency: Strong working knowledge of MS Office (Word, Excel, PowerPoint) and familiarity with project management software or document control systems.

  • Communication: Excellent written and verbal communication skills, with the ability to liaise effectively between multiple stakeholders.

  • Organization & Detail-Oriented: Demonstrated ability to manage multiple priorities, meet deadlines, and maintain accuracy in a fast-paced environment.

  • Problem-Solving: Proactive approach to identifying challenges and proposing solutions.

  • Teamwork: Collaborative mindset with the ability to work independently and within cross-functional teams.
